01 · Opening a chart

The chart opens on what this patient already has.

Choose injectables, device or wellness and the chart takes the steps that treatment needs: photo, pin placement and dosing for injectables; photo, area highlights and settings for a device; vitals, the infusion record and IM sites for wellness. Underneath sits every consent on file with the date it was signed and the date it lapses, plus what the patient has had and bought before. Photography consent is marked per session, so it is signed again at each visit.

02 · Before the first injection

Required items hold the chart until they are done.

Each treatment brings its own checklist, photo angles, products and dosing preset. Botox Injections loads ten checks, eight required and two optional, from medical history to reconstitution volume, including a check for cow's milk protein allergy when Dysport is the product. The consent forms sit at the top with who signed each one and when; a form signed by hand is recorded from the same screen. Consent then ticks itself from the signed forms, and the chart cannot move on while a required item is open.

03 · Photographs

Real photographs, the same five angles every visit.

Botox Injections asks for the front, both 45° views and both profiles, and counts them in as they land. Photos are taken on the tablet or phone in the room and go straight onto the chart. When a patient prefers not to be photographed, any angle can be mapped on an anatomy drawing instead, one at a time or all the remaining angles at once. The chart suggests the drawing that matches the angle, from a library covering the face from five angles, eyes and brows, the scalp, the body front, back and sides, and sites such as the underarms and palms. Pins and marks go on the drawing the same way they go on a photo, and the record is marked as a diagram.

04 · Before and after

Before and after: slide, flip or side by side.

From the second visit on, the chart sets today's annotated photo against the same angle from any earlier locked chart. Pick the visit and the angle, then view the two side by side, drag a slider across the face, or tap to flip between them. Because every visit uses the same five angles, the photographs line up and the change is easy to see.

05 · The canvas

Pin the site and set the units. The total keeps count.

Drop a pin where the injection went, then choose the zone, the product and the units at that site. There are eleven named zones, from glabella and forehead through to masseter, platysma and brow lift, and four toxins: Botox, Dysport, Xeomin and Nuceiva. The running total builds with every pin. The lot number and expiry are entered once per product and printed against every site on the record, and stock is only deducted when the chart is locked.

06 · Marking tools

Pen, arrows, notes and device areas.

Alongside the pin there is a freehand pen and an arrow, in four colours and three brush widths. A location note pins a clinical note to the exact spot it describes. The highlight tool outlines a device treatment area and records the device, depth, energy, passes and area notes. Undo and redo, zoom, and a delete tool that removes a mark with a tap. Save stamps the time, and export flattens the marks into the annotated photo kept on the chart.

07 · Procedure notes

A structured note, started for you.

The treatment loads its note template with assessment, procedure and plan laid out and the prompts in place, ready to fill in. There are 28 templates, from neurotoxin, filler and laser to IV therapy, GLP-1 visits and adverse events, and snippets drop in by typing a full stop and a shortcut. Above the note, the treatment summary lists every product with its quantity, lot and expiry, and post-care instructions sit underneath.

08 · Sign and lock

Signed, locked, and corrected by addendum.

The last step lays the whole chart out for review: the checklist, the photographs and map, every product with its lot, then the provider's signature. Signing locks the chart. From then on a correction is added as an addendum attached to the original, so the record shows what changed and when.

09 · Set-up

Configure the treatment once, and every chart knows.

Each treatment auto-loads its checklist, photos, products, dosing and note template. Set up Sylfirm X once with its two handpiece tips and nine checklist items, and every Sylfirm X chart arrives that way. The configuration is wired to the booking calendars too, so the chart that opens matches the appointment that was booked.

10 · What the chart moves

One locked chart moves stock, balance and bill.

A patient arrives with forty units banked and you chart forty-five. When the chart is locked, the forty are drawn down, the five are left to charge, and forty-five come off stock against the lot you recorded. The clinical record, the patient's balance, the amount owed and the shelf all move from that one chart.

Is this real charting or a notes field on a CRM?

Real charting. Health Hue Charting is its own application inside the Hub, with an annotation canvas on the patient's photographs, per-treatment checklists and note templates, dosing, lot tracking, before and after comparison and signed, locked charts.

Do we have to photograph every patient?

No. Any angle can be mapped on an anatomy drawing instead, one at a time or every remaining angle at once, and a visit can mix photographs and drawings. The chart suggests the drawing that matches each angle, pins and marks work on it the same way, and the record is marked as a diagram.

What can be marked on the canvas?

Pins record the zone, product and units at each site, and a location note pins a clinical note to a spot. Device areas are outlined with their depth, energy and passes, and the freehand pen and arrows come in four colours and three widths. How does before and after work?

From a patient's second visit, the Compare step sets today's annotated photo against the same angle from an earlier locked chart. You can view them side by side, drag a slider across them, or tap to flip between the two visits.

Does it handle devices and IV as well as injectables?

Yes, and each follows its own steps. An injectable chart moves from photo to pin placement to dosing, a device chart from photo to area highlights to settings, and a wellness chart records vitals, the infusion record and IM sites.

At the start. The chart opens on the consents already on file, with the date each was signed and the date it lapses, and consent is ticked on the pre-procedure checklist from the signed form. Required checklist items hold the chart until they are complete.

Can a signed chart be changed?

Signing locks the chart. A correction is then added as an addendum attached to the original, so the record shows what changed and when.

When does stock come off?

When the chart is locked. The canvas says so beside the running total, so a draft leaves your shelf alone. The units charted come off against the lot recorded on the chart.
