01 · Memberships
Membership tiers, on rules you set once.
Each tier has its monthly dues, a member discount and what’s included each cycle. The Hub bills the dues on a recurring price, and every paid cycle issues that cycle’s benefits. A failed payment pauses them, a cancellation stops them, and nothing a member has already banked is ever taken back. Your membership policy decides the rest for the whole clinic: whether unused benefits roll over and how far, what a member keeps when they cancel, whether they can use what’s banked while frozen, and how many days of grace follow a failed payment. Freeze a member for travel or a pause instead of cancelling, and enrol members who pay in cash or by invoice so they sit alongside everyone else.

02 · Treatment Packages
Build a treatment package with its treatment plan built in.
Put sessions or units of a treatment together at one bundle price, and the Hub shows the face value and what the patient saves. Choose the service each line redeems against, its price at sale, and any deposit the patient still pays when they book. Set one expiry date for the whole package, or leave it to never expire. Each line carries its treatment plan, so a series of three becomes three planned sessions, with the spacing set now or by the provider at the first session. Once a package is finished, Care Cadence reminds the patient when their next visit is due.

03 · Selling a package
Sell it in clinic, by invoice or on the card on file.
Packages bought online are granted automatically. For a sale at the front desk, over the phone or a patient moving from another system, pick the patient and the package and the Hub lists the visits in their treatment plan. The dates are recommendations and never block a booking. Then choose how it’s being paid: already paid in clinic, an invoice the patient pays from a link, or a charge to the card on their record. The sessions are banked as soon as the money is in.

04 · On the patient record
Every package and session left, on the patient’s record.
Look up any patient and see each package they hold, the bundle it came from, how many sessions or units are left and whether it’s active. It’s the same view your front desk sees in the patient record, with a ledger below that shows every grant and redemption, when it happened and who made it. Sell another package from the same screen.

05 · Promotions
Promotion codes with limits built in.
A promotion is one shared code, a percentage or a dollar amount off, for the services you choose. Give it a start date, an end date or a cap on redemptions, and limit it to one use per patient. A code can’t run forever: it needs an end date or a cap. Only one code applies at checkout, so a promotion never stacks on top of a package or a member discount.

06 · Reports
Know what you still owe in treatment.
Prepaid packages are sessions your clinic still has to deliver. Reports adds them up as outstanding prepaid value, at the price each package was sold for, and breaks it down package by package: the kind, how many are left, the value of each one and the total still owed.

FAQ
Questions about Memberships.
What’s the difference between a membership and a treatment package?
A membership is a monthly tier: the patient pays dues each cycle and gets the member discount or the benefits included in that cycle. A treatment package is a one-time purchase of sessions or units at a bundle price, with a treatment plan that spaces out the sessions.
How do we set up a medical spa membership program?
Create a tier with its monthly dues, the member discount and what’s included each cycle. Then set your membership policy once for the whole clinic: whether unused benefits roll over, what members keep when they cancel, what happens while they’re frozen and how many days of grace follow a failed payment. Enrol members from the Hub, or off-system for anyone who pays in cash or by invoice.
How are membership dues billed?
On a recurring price the Hub bills each cycle, and each paid cycle issues that cycle’s benefits. Members who pay in cash or by a recurring invoice can be enrolled off-system so they sit alongside everyone else.
What happens when a payment fails?
Benefits stop issuing until the payment goes through, after any grace period your clinic sets. Nothing the member has already banked is taken back.
Can a member pause their membership?
Yes. Freeze stops benefits issuing and can be reversed, so it suits travel or a break. Your membership policy decides whether a frozen member can still use what’s already banked.
How does a treatment package connect to Care Cadence?
A package’s treatment plan spaces out the sessions the patient bought. Once the package is finished, Care Cadence reminds the patient when their next visit for that treatment is due.
Can patients buy packages online?
Yes. Packages bought online are granted to the patient automatically. Packages sold in the clinic are granted from the Sell a package drawer once they’re paid.
How is it priced?
We’ll go through the numbers on a call.
