  • ✓Contract terms: month-to-month with a clean export beats a multi-year term with an unclear one.

06 · Compliance

The BAA is not optional

If a vendor creates, receives, stores, or transmits protected health information on a covered entity’s behalf, HIPAA requires a signed Business Associate Agreement between the clinic and that vendor before the work starts. This applies to a texting platform, an AI-driven inbox, or a review-request tool the same way it applies to an EHR. A polished interface is no substitute for the agreement.

How to know if it’s actually working

Judge a platform by the numbers it moves. Track first-response time on new messages, the no-show rate before and after reminders went live, portal activation among active patients, and review volume per month.

Rebooking rate is the number that matters most for recurring treatments. If a series or membership patient’s rebooking rate doesn’t move within 90 days of turning on recall flows, the automation isn’t reaching people, or it’s reaching them with the wrong message.
